ELIVARA Community Services Ltd.
1. Purpose and scope
This policy applies to visitors to ELIVARA's public website and to personal information submitted through website forms, email links, or other website-based contact methods. It is intended to support compliance with British Columbia's Personal Information Protection Act (PIPA) and other privacy laws that may apply.
This website policy does not replace the privacy notices, consent forms, records procedures, or confidentiality requirements that may apply to supported persons, applicants, employees, contractors, volunteers, or service partners. Separate privacy documentation will apply when ELIVARA begins collecting information for service delivery or another formal relationship.
2. Accountability
ELIVARA is responsible for personal information under its control, including information processed for us by service providers. ELIVARA designates a Privacy Officer, currently the Director or another person formally appointed by the organization, to oversee privacy compliance, questions, access requests, and complaints.
3. What personal information means
Personal information is information about an identifiable individual. Depending on how you use the website, it may include your name, contact details, IP address, inquiry details, or other information that identifies you directly or indirectly.

The website is not a secure channel for intake, clinical, crisis, or emergency services. If ELIVARA later introduces a secure referral or intake process, a separate notice will explain how that information is handled.

Squarespace, our website hosting provider, may collect information needed to operate, protect, and improve the website, including:
Browser, network, and device information.

Pages viewed and information about site interactions, such as clicks, scrolling, searches, and timestamps.

Squarespace and other service providers may process or store website information outside Canada, including in the United States. Information handled in another country may be subject to that country's laws and may be accessible to courts, law enforcement, or national security authorities in that jurisdiction.
ELIVARA will consider privacy and security when selecting and configuring providers. Contact the Privacy Officer if you have questions about service providers or cross-border processing relevant to your information.
10. Security safeguards
ELIVARA uses reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. Measures may include role-based access, strong passwords, multi-factor authentication where available, secure accounts, staff confidentiality expectations, provider review, and documented privacy and incident-response procedures.
No website, email system, or internet transmission is completely secure. Please use the general website only for non-sensitive inquiries.
11. Accuracy and retention
ELIVARA takes reasonable steps to keep personal information accurate and complete when it may be used to make a decision affecting an individual. We retain website inquiry information only as long as reasonably needed for the identified purpose and for legal, safety, insurance, audit, or business requirements.
If personal information is used to make a decision that directly affects an individual, ELIVARA will retain it for at least one year after the decision, as required by PIPA. When retention is no longer reasonably necessary, information will be securely destroyed or de-identified.
12. Access and correction requests
You may request access to personal information ELIVARA holds about you and ask that inaccurate information be corrected. Requests should be made in writing to the Privacy Officer and should provide enough detail to identify the records. ELIVARA may verify identity before responding.
Access may be limited where permitted or required by law, including where disclosure would reveal another person's personal information or confidential commercial information. ELIVARA will respond within the timelines required by applicable law and will explain any refusal.
13. External links, embedded services, and fonts
The website may link to external sites or use third-party features. Their privacy practices are governed by their own policies. Depending on the final Squarespace configuration, Google Fonts or Adobe Fonts may receive browser, device, page, and IP-address information to display font files. ELIVARA will review and update this section when new integrations are added.
14. Privacy incidents and complaints
If ELIVARA becomes aware of unauthorized access to, loss, use, or disclosure of personal information, we will take reasonable steps to contain the incident, assess the risk, document the response, reduce the likelihood of recurrence, and provide notice where appropriate or as required by law.
Privacy questions and complaints should first be directed to ELIVARA's Privacy Officer. ELIVARA will review concerns fairly and without retaliation. If a concern is not resolved, you may contact the Office of the Information and Privacy Commissioner for British Columbia at www.oipc.bc.ca.
